Retail-Environments Program Manager – 6 month Contract

Program Managers are the shepherds of our work. They understand what is possible and what best practices are required to get it done - on time, on budget and at an exceptionally high level of creative delivery. In this role you are expected to balance being an empathetic advocate for our design team’s needs with a relentless desire to meet the objectives of our clients.

This particular contract Program Manager position is responsible for managing multiple work streams for one of Cinco’s key clients.  Program Managers excel at being the hub of all real-time information across the program with meticulous project plans, scope management and client relationships skills to ensure we meet our collective goals. This position must have experience in bringing projects to completion.

Requirements:

  • 5-7+ years of project management experience within an agency or studio setting
  • Working knowledge of multiple creative disciplines, including retail design, brand design and motion design with an emphasis on branded environments and retail experiences
  • Ideal candidate has worked on environmental brand and retail programs coordinating teams across brand, 3D and production design; from concept to renders and guidelines.  
  • Must adhere to the client specific processes and workflows that have been created to support this account  
  • Proven organizational skills and a relentless attention to detail

  • Responsible for sending all client deliverables to ensure our project timelines are upheld (sometimes this requires after business hours efforts)

Responsibilities include:

  • Responsible for the consistent successful facilitation of projects from estimation through launch and maintenance
  • Partners with fellow program leads to help generate SOWs/estimates before work commences
  • Communicates daily with client about project statuses, timelines, outstanding items, next steps, and deliverables
  • Defines and implements project work plans, rolling individual projects schedules, and budgets into overall program plan
  • Participates and captures key take-aways and interactions related to all tactical next steps and overall work plan execution on both internal and client calls
  • In collaboration with the creative lead, identifies appropriate resources for each project/program, allocates internal and external resources as needed throughout project lifecycles. This includes talent  
  • Works with Production Director to confirm availability for internal resources, secure quotes and engage selected freelancers and vendors as needed
  • Agency advocate for internal communication; determines points of conflict and escalates to the appropriate channels
  • Monitors project budgets and schedules regularly and makes adjustments as needed and/or escalates any risks to team leads (Account Director and Creative Director) to remedy
  • Provides scope change order documentation to account lead, including timeline + budget revisions
  • Setups all project tools prior to kickoff (Box folder, DropBox, Slack, etc.)
  • Schedules all internal and external project meetings and runs weekly internal status meeting
  • Participates in weekly resourcing meetings with Program Management team to ensure resources are appropriately allocated
  • Manages internal and client facing timeline, project trackers and other status documents
  • Manages tactical quality of all client deliverables (proofreading, project requirements and specifications); ensures appropriate team members review before sending
  • Assures monthly billing/revenue recognition meeting prep is complete and all project transactions are reviewed and accurate on a weekly basis
  • Participates in monthly billing/revenue recognition meetings
  • Assists Account lead and Finance in preparing client invoices
